Comprehensive Legal Terms for Platform Use and Event Participation (Global)
 

1. Introduction

Welcome to TIF Education, operated by Thalassaemia International Federation (TIF). These Terms and Conditions (these "Terms") govern your use of the TIF Education platform (https://tifeducation.org) and your participation in TIF Education events.

By accessing or using the TIF Education platform, creating an account, logging in, registering for events, submitting content, or participating in any TIF Education activities, you agree to be bound by these Terms.

If you do not agree to these Terms, please do not use the TIF Education platform or register for events.

These Terms are designed to comply with applicable laws in Cyprus, the European Union, the United Kingdom, the United States, Canada, Brazil, Australia, the Middle East, India, and other jurisdictions where TIF Education operates.

2. Who We Are

Thalassaemia International Federation (TIF), operating the TIF Education platform, is the operator of this platform and the organizer of TIF Education events.

TIF is a non-profit international federation based in Cyprus (European Union).

3. Definitions

"Platform" means the TIF Education website, application, and associated services operated by TIF.

"User" means any individual who accesses, registers for, or uses the Platform.

"Account" means a user account created on the Platform with a username and password.

"Event" means any conference, webinar, workshop, virtual event, hybrid event, physical/in-person event, scientific meeting, educational workshop, training program, or other activity organized or managed by TIF Education.

"Content" means any text, images, videos, audio, presentations, abstracts, research papers, educational materials, or other material submitted, posted, or uploaded by users on the Platform.

"Personal Data" means any information relating to an identified or identifiable natural person, as defined under applicable data protection laws.

"GDPR" means the General Data Protection Regulation (EU) 2016/679.

"UK GDPR" means the UK General Data Protection Regulation (post-Brexit).

"CCPA" means the California Consumer Privacy Act (as amended by CPRA).

"Third Party" means any person, entity, or service provider other than TIF or the User.

"Stripe" means the third-party payment processing service provider used by TIF Education.

"Zoom" means Zoom Video Communications, the third-party video conferencing platform used for virtual events.

4. Eligibility

4.1. Minimum Age

You must be at least 18 years old to register for and use the TIF Education platform.

If you are under 18 years old, you must have parental or guardian consent to use the Platform and register for events.

TIF Education does not knowingly collect personal data from children under the age of 16 (GDPR default) or 13 (COPPA/UK). If you are under 18, you must have parental or guardian consent to register.

4.2. Professional Eligibility

TIF Education events are primarily intended for:

  • Doctors
  • Healthcare professionals
  • Researchers
  • Scientists
  • Academics
  • Medical students
  • Patient advocates
  • Patients and families (where applicable)

By registering, you confirm that you meet the eligibility criteria for the events you register for.

4.3. Representation and Warranty

By using the Platform, you represent and warrant that:

  • You are at least 18 years old (or have parental/guardian consent if under 18)
  • You have the legal capacity to enter into this agreement
  • All information you provide is accurate, complete, and up-to-date
  • You will use the Platform only for lawful purposes
  • You will comply with all applicable laws and these Terms

5. Account Registration and Security

5.1. Creating an Account

To create an account, you must:

  • Provide accurate and complete information
  • Provide a valid email address
  • Create a secure password
  • Agree to these Terms
  • Complete any verification steps required by TIF

5.2. Account Information

You are responsible for:

  • Maintaining the accuracy and completeness of your account information
  • Keeping your password secure and confidential
  • All activities that occur under your account
  • Notifying TIF immediately of any unauthorized use of your account

5.3. Account Security

You agree to:

  • Not share your password with anyone
  • Not attempt to access another user's account
  • Use reasonable care to prevent unauthorized access to your account
  • Log out of your account after each session, especially on shared computers

5.4. Account Suspension and Termination

TIF reserves the right to suspend or terminate your account at any time, for any reason, including:

  • Breach of these Terms
  • Suspicious or fraudulent activity
  • Inactivity for an extended period
  • Legal or regulatory requirements
  • Operational necessity

Upon termination, your right to use the Platform will immediately cease. TIF may retain your data as necessary for legal or operational purposes.

6. Event Registration

6.1. Registration Process

To register for an event, you must:

  • Create an account (if you do not have one)
  • Complete the event registration form
  • Provide accurate and complete information
  • Pay any applicable fees (for paid events)
  • Agree to any event-specific terms or conditions

6.2. Registration Types

Events may have different registration types, including:

  • Free registration
  • Paid registration
  • Early bird registration
  • Group registration
  • Student registration
  • Professional registration

Registration type availability depends on the individual event.

6.3. Registration Changes and Cancellations

You may cancel your registration subject to the event's Refund and Cancellation Policy (if applicable).

TIF reserves the right to:

  • Cancel or postpone any event
  • Change event dates, times, or locations
  • Modify event content or format
  • Substitute speakers or faculty

TIF will make reasonable efforts to notify you of any changes.

6.4. Event Fees

For paid events, fees are non-refundable unless otherwise specified in the event's Refund and Cancellation Policy.

By registering for a paid event, you agree to pay the applicable fees.

Payment processing is handled through Stripe. TIF does not store complete card details.

6.5. Attendance Requirements

Some events may have attendance requirements for certificate issuance, including:

  • Minimum attendance duration
  • Participation in sessions
  • Completion of evaluations
  • Submission of required materials

Certificate availability depends on individual event rules.

7. Payment and Billing

7.1. Payment Processing

TIF Education uses Stripe as its third-party payment processor.

By making a payment, you agree to Stripe's Terms of Service and Privacy Policy.

TIF does not directly store complete card details.

7.2. Payment Accuracy

You represent and warrant that:

  • You are authorized to use the payment method provided
  • The payment information is accurate and complete
  • There are sufficient funds or credit available for the transaction

7.4. Taxes

All fees are exclusive of taxes unless otherwise specified.

You are responsible for paying any applicable taxes related to your registration or purchase.

8. Accommodation Booking

8.1. Accommodation Services

TIF Education offers paid accommodation booking and hotel booking support related to conferences.

Accommodation booking is subject to availability and the terms of the hotel or accommodation provider.

8.2. Booking Information

When booking accommodation, you may provide:

  • Check-in date
  • Check-out date
  • Room type preferences
  • Special accommodation requests
  • Hotel name and location

8.3. Cancellations and Changes

Accommodation bookings are subject to the cancellation and change policies of the hotel or accommodation provider.

TIF will make reasonable efforts to assist with changes or cancellations but is not responsible for policies set by third-party providers.

9. Virtual Events and Zoom

9.1. Virtual Event Platform

TIF Education uses Zoom Video Communications exclusively for virtual events (webinars, virtual conferences, hybrid conference sessions, educational meetings).

9.2. Zoom Participation

By participating in Zoom-based events, you acknowledge that:

  • Zoom may collect attendance logs, session participation data, chat messages, poll responses, questions, engagement statistics, IP address, device information, and video/audio data
  • Zoom acts as a data processor on behalf of TIF Education
  • Zoom's privacy policy applies (https://zoom.us/privacy)

9.3. Recording Consent

TIF Education records events, including conferences, webinars, workshops, and hybrid sessions.

By participating in recorded events, you acknowledge that sessions may be recorded.

If you do not consent to recording, you may still attend the event, but certain participation features may be limited.

You may withdraw consent before the recording is published or archived by contacting admin@tifeducation.org. After publication, withdrawal may not be technically or legally feasible due to archival and distribution constraints.

9.4. Virtual Event Conduct

When participating in virtual events, you agree to:

  • Be respectful to other participants and speakers
  • Not record or distribute the event without permission
  • Not share login credentials with others
  • Follow any event-specific rules or guidelines

10. Content Submission

10.1. Types of Submissions

The Platform allows users to submit:

  • Scientific abstracts
  • Research summaries
  • Academic submissions
  • Research papers
  • Educational materials
  • Speaker applications
  • Faculty applications
  • Presenter applications

10.2. Submission Requirements

By submitting content, you represent and warrant that:

  • You own or have the necessary rights to the content
  • The content does not infringe third-party intellectual property rights
  • The content is accurate and not misleading
  • The content does not violate any laws or these Terms
  • You consent to the processing and use of the content as described in these Terms

10.3. Review Process

All submissions are subject to review by the scientific committee or relevant review body.

TIF reserves the right to:

  • Accept or reject any submission
  • Request modifications to a submission
  • Use submissions for educational purposes
  • Publish accepted submissions (subject to event rules)

10.4. Intellectual Property

You retain ownership of your submitted content.

By submitting content, you grant TIF a non-exclusive, worldwide, royalty-free license to:

  • Use the content for educational purposes
  • Publish the content (subject to event rules)
  • Archive the content for future reference
  • Share the content with scientific committee members and reviewers

10.5. Author Information

Submissions may include:

  • Author information
  • Institution details
  • Biographies
  • CVs
  • Presentation materials

By submitting, you consent to the processing of this information as described in the Privacy Policy.

11. Certificates

11.1. Certificate Types

Depending on conference requirements, TIF Education may provide:

  • Attendance certificates
  • Participation certificates
  • Speaker certificates
  • Educational certificates
  • Conference completion certificates

11.2. Certificate Availability

Certificate availability depends on individual event rules.

Some events may require:

  • Minimum attendance duration
  • Participation in sessions
  • Completion of evaluations
  • Submission of required materials

11.3. Certificate Information

Certificates may include:

  • Your name
  • Your title
  • Your organization
  • Event name
  • Event date
  • Signature or seal

11.4. Certificate Verification

TIF may maintain records of certificates issued for verification purposes.

12. Sponsor and Exhibitor Data Sharing

12.1. Official Policy

TIF's official policy: Attendee data is never shared with sponsors or exhibitors unless the attendee expressly opts in during registration.

  • Default: No sharing
  • Explicit consent required for any sharing
  • No automatic sponsor access to attendee data

12.2. Opt-In Process

If you opt in to sponsor/exhibitor data sharing, shared data may include:

  • Name
  • Email
  • Professional title
  • Organization
  • Event interests

12.3. Withdrawal of Consent

You may withdraw consent for sponsor/exhibitor data sharing at any time by contacting admin@tifeducation.org.

13. Analytics and Reporting

13.1. Internal Analytics

TIF Education uses internal analytics generated from our own database and platform records (first-party analytics).

Purpose: To understand how the Platform is used, improve services, monitor event participation, manage registrations, issue certificates, support scientific and educational operations, improve platform security and performance, and generate operational insights.

13.2. Third-Party Analytics

TIF Education currently does not use:

  • Google Analytics
  • Google Tag Manager
  • Meta Pixel / Facebook Pixel
  • LinkedIn Insight Tag
  • Microsoft Clarity
  • Advertising or marketing tracking cookies

If TIF Education introduces non-essential analytics or tracking tools in the future, a separate disclosure and consent mechanism will be implemented.

13.3. Data Aggregation

Analytics data may be aggregated or pseudonymized where possible. Where personal data is used, it is processed under the legal bases described in the Privacy Policy.

14. Privacy and Data Protection

14.1. Privacy Policy

Your use of the Platform is also governed by our Privacy Policy, which is incorporated into these Terms by reference.

By using the Platform, you consent to the collection, use, and disclosure of your personal data as described in the Privacy Policy.

15. Prohibited Conduct

You agree NOT to:

15.1. Account-Related Prohibitions

  • Create multiple accounts without permission
  • Use another user's account
  • Share your account credentials
  • Attempt to gain unauthorized access to the Platform

15.2. Content-Related Prohibitions

  • Submit false, inaccurate, or misleading content
  • Submit content that infringes third-party rights
  • Submit malicious code, viruses, or harmful software
  • Spam or send unsolicited communications
  • Impersonate any person or entity

15.3. Event-Related Prohibitions

  • Disrupt or interfere with events
  • Harass, threaten, or intimidate other participants
  • Record or distribute events without permission
  • Use events for commercial purposes without authorization
  • Violate event-specific rules or guidelines

15.4. Platform-Related Prohibitions

  • Reverse engineer or decompile the Platform
  • Remove any copyright or proprietary notices
  • Use the Platform for illegal purposes
  • Violate any applicable laws or regulations
  • Interfere with the proper functioning of the Platform

16. Code of Conduct

16.1. General Conduct

When using the Platform or participating in events, you agree to:

  • Be respectful to other users, speakers, faculty, and staff
  • Act professionally and ethically
  • Refrain from discriminatory or harassing behavior
  • Follow all event-specific rules and guidelines

16.2. Harassment and Discrimination

TIF Education is committed to providing a safe and inclusive environment.

Harassment, discrimination, or hostile behavior based on race, gender, religion, nationality, sexual orientation, disability, or any other protected characteristic is strictly prohibited.

16.3. Reporting Violations

If you observe or experience violations of the Code of Conduct, please report them to: admin@tifeducation.org

TIF will investigate all reports and take appropriate action.

17. Intellectual Property Rights

17.1. Platform Ownership

The Platform and all content on the Platform (excluding user submissions) are owned by TIF or its licensors.

All rights are reserved.

17.2. Trademarks

"Thalassaemia International Federation", "TIF", "TIF Education", and associated logos are trademarks of TIF.

You may not use these trademarks without prior written permission.

17.3. Copyright

All content on the Platform is protected by copyright and other intellectual property laws.

You may not reproduce, distribute, modify, or create derivative works without prior written permission.

17.4. Fair Use

Limited use of Platform content for educational, research, or personal purposes may be permitted under fair use or fair dealing doctrines, subject to applicable laws.

18. Third-Party Services

18.1. Third-Party Links

The Platform may contain links to third-party websites or services (e.g., Zoom, Stripe, YouTube, Vimeo).

When you click on a link to a third-party website, you will be taken to a site that is not controlled by TIF.

TIF is not responsible for the privacy practices, content, or availability of third-party websites.

18.2. Third-Party Terms

Your use of third-party services is subject to the terms and conditions of those third parties.

We encourage you to review the privacy policies and terms of any third-party service you use.

18.3. Payment Processing

Payment processing is handled through Stripe. Your use of Stripe is subject to Stripe's Terms of Service and Privacy Policy.

18.4. Virtual Events

Virtual events are conducted through Zoom. Your use of Zoom is subject to Zoom's Terms of Service and Privacy Policy.

19. Disclaimer of Warranties

19.1. No Warranty

The Platform is provided "as is" and "as available" without warranties of any kind, whether express or implied.

To the fullest extent permitted by law, TIF disclaims all warranties, including but not limited to:

  • Implied warranties of merchantability
  • Implied warranties of fitness for a particular purpose
  • Implied warranties of non-infringement
  • Warranties of accuracy or completeness
  • Warranties of uninterrupted or error-free service

19.2. No Professional Advice

The content on the Platform is for educational purposes only and does not constitute medical, legal, or professional advice.

Always consult with a qualified professional for advice specific to your situation.

19.3. Reliance on Information

You rely on Platform content at your own risk.

TIF does not warrant that the information on the Platform is accurate, complete, or up-to-date.

20. Limitation of Liability

To the fullest extent permitted by law, TIF shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including but not limited to:

21. Indemnification

You agree to indemnify, defend, and hold harmless TIF, its officers, directors, employees, agents, and affiliates from any claims, liabilities, damages, losses, costs, expenses, or fees (including reasonable legal fees) arising out of:

  • Your use of the Platform
  • Your breach of these Terms
  • Your submission of content
  • Your participation in events
  • Your violation of any laws or third-party rights

22. Governing Law and Jurisdiction

22.1. Governing Law

These Terms are governed by and construed in accordance with the laws of Cyprus.

22.2. Jurisdiction

Any legal disputes arising out of or in connection with these Terms shall be subject to the exclusive jurisdiction of the courts of Cyprus (Nicosia).

22.3. Consumer Protection

Nothing in these Terms affects your statutory rights as a consumer under applicable law.

If you are a consumer, you may also bring legal proceedings in your country of residence under applicable consumer protection laws.

22.4. Language

These Terms are provided in English. If provided in other languages, the English version prevails for legal interpretation.

23. Dispute Resolution

Before initiating formal legal proceedings, TIF encourages you to contact us to attempt to resolve the dispute informally.

24. Termination

24.1. Termination by You

You may stop using the Platform at any time.

You may request account deletion by contacting: admin@tifeducation.org

24.2. Termination by TIF

TIF may terminate or suspend your account and access to the Platform at any time, for any reason, including:

  • Breach of these Terms
  • Suspicious or fraudulent activity
  • Inactivity for an extended period
  • Legal or regulatory requirements
  • Operational necessity

24.3. Effect of Termination

Upon termination:

  • Your right to use the Platform will immediately cease
  • TIF may retain your data as necessary for legal or operational purposes
  • Certain provisions of these Terms (including intellectual property, liability limitations, indemnification, and governing law) will survive termination

25. Changes to These Terms

TIF reserves the right to modify these Terms at any time.

29. Interpretation

Words importing the singular include the plural and vice versa.

Words importing any gender include all genders.

29.2. Headings

Headings are for convenience only and shall not affect the interpretation of these Terms.

29.3. References

References to sections, clauses, or provisions are to sections, clauses, or provisions of these Terms unless otherwise specified.

29.4. Laws and Regulations

References to laws or regulations include any amendments, renewals, or replacements.

  • You understand that Zoom is used for virtual events and related data may be collected
  • You confirm that you are 18 years or older (or have parental consent if under 18)
  • You understand that health-related data is sensitive and requires explicit consent if provided
  • You understand that internal analytics is generated from our own database for operational and service improvement purposes
  • You acknowledge that the Platform is provided "as is" without warranties
  • You understand the limitations of liability and indemnification obligations
  • You agree to the governing law and jurisdiction of Cyprus

This Terms and Conditions document is written in clear, plain language and is intended to meet the legal requirements of Cyprus, the European Union, the United Kingdom, the United States, Canada, Brazil, Australia, the Middle East, India, and other jurisdictions where TIF Education operates.
