Terms and Conditions

Last Updated: June 2026

Welcome to the official registration and participation portal for the upcoming Spetses Summit. By registering for the event and securing accommodations at Yayaki Spetses, you explicitly agree to comply with and be bound by the following terms, operational frameworks, and regulatory policies.

1. Registration, Fees, and Payment Framework

  • 1.1 Booking Validation: All registration slots, passes, and accompanying accommodation selections at Yayaki Spetses are non-guaranteed until full clearing of the invoice balance is completed via the payment gateway.
  • 1.2 Currency Handling: All prices, transactional invoices, and subsequent processing fees are managed strictly in Euros (€).
  • 1.3 Dashboard Accountability: Delegates are fully responsible for ensuring the accuracy of all submitted information—including credential titles and passport numbers—used to auto-generate official documentation.

2. Cancellation, Substitution, and Refund Policy

  • 2.1 Standard Cancellations: Written cancellation notifications received up to 45 days prior to the official summit commencement date are eligible for a 75% refund of the baseline registration tier. No refunds will be issued for cancellations processed within the 45-day window.
  • 2.2 Attendee Substitution: Delegates may transfer their registration slot to a qualified peer or colleague at no extra cost, provided a formal substitution request is submitted via email at least 14 business days before the event.
  • 2.3 Accommodation Limits: Due to the exclusive boutique footprint of Yayaki Spetses (15 bespoke rooms), separate cancellation terms apply to structural room blocks as detailed during the checkout sequence.

3. Visa Compliance and Sovereign Entry Responsibilities

  • 3.1 Consular Filings: Attendees are entirely responsible for handling their own entry compliance under Schengen Zone rules. The organizers will provide official Conference Invitation Letters upon payment confirmation, but they accept no liability for visa rejections or processing delays by the Greek Embassy.
  • 3.2 Travel Documentation: Boarding maritime transit and entering Greece requires a passport valid for at least 3 months past the departure date, with 2 blank pages.

4. Force Majeure, Maritime Disruptions, and Liability Limitations

  • 4.1 Event Modifications: The organizers reserve the right to alter the speaker schedule, session timelines, or localized amenities due to circumstances beyond reasonable control.
  • 4.2 Maritime Delays: Because Spetses is an island accessible via ferry from Piraeus or water taxi from Costa, the organizers are not liable for travel delays or missed sessions caused by weather, sea conditions, port strikes, or flight cancellations. Delegates are strongly urged to purchase comprehensive travel insurance.
  • 4.3 Property Protection: Delegates are expected to respect the boutique grounds and heritage architecture of Yayaki Spetses. Any intentional or accidental structural damage caused to the estate grounds or private rooms during the summit will be billed directly to the responsible party.
